In view of transparency, this privacy policy outlines how the Ellie-May Sports Nutrition uses and protects any personal information that you provide us. We are committed to ensuring that your privacy is protected.  We aim at all times to comply with the General Data Protection Regulation (GDPR) and the Data Protection Act 2018.  This policy applies to all of our dealings with you including when you interact with our website or via email or googlemeet or zoom platform.

The Type of personal information we collect

The type of personal information we may collect if you are using any of Ellie-May Sport Nutrition services in order to complete the service may involve:

  • Full name, occupation, gender and marital status;
  • Contact information and personal details including home address, email, contact telephone numbers, details of GP and other medical professionals;
  • Current and past medical history, current medications, blood test results, body measurements and lifestyle information provided by the client;

Explicit consent is obtained prior to gathering any of this information using Terms and Conditions form which will be sent directly to the patient as PDF which should be signed and returned.

When you visit the website, technical information including internet protocol (IP) address used to connect your computer to the internet, your log in information, browser type and version time zone setting, browser plug in types and versions, operating system and platform may be collected. IP address is anonymised before this is shared with Google Analytics (in order to monitor broad trends). Data is further collected when you contact us through the website contact us page or when you email the team directly.

Store your personal information

Your information is securely stored. I will not distribute, sell or lease personal information to third parties unless I have explicit permissions or required by law to do so. In order to prevent unauthorised access or disclosure, we have put in place appropriate technical, organisational and security measures to safeguard and secure the information we collect.

  • As referred to above, our website is secure and encrypted.  Email contact form data is stored on our website.
  • Our laptops are password protected and never left unlocked
  • For our service provider, we use an electronic GDPR compliant system for storing electronic records through googleworkspace which are password protected.
  • This website is secure and for additional security and GDPR compliance, the IP addresses of those who visit the site are immediately anonymised before being shared with Google Analytics via this method (https://support.google.com/analytics/answer/2763052?hl=en)

Records made by the dietitian relating to the care of a client, will be stored for eight years (in line with British Dietetic Association Guidance for Record and Record Keeping).  We may also be under an obligation to store your Personal Data for longer in accordance with our professional indemnity insurers requirements. 

Your data protection rights

As under the Data Protection law, you have the following rights:

  • Your right of access: You have the right to ask us to supply to you with copies of the information we hold, this is known as a data subject access request.
  • You have the right to ask us to rectify the data we hold if it contains inaccuracies or is incomplete. You also have the right to ask us to complete information you think is incomplete.
  • You have the right to ask us to erase the Personal Data we hold if: (i) it is no longer necessary for us to hold the data; (ii) you wish to withdraw your consent to us holding the data; (iii) you object to us holding or processing the data; (iv) you believe that we have processed the data unlawfully; or (v) the data needs to be erased for us to comply with a particular legal obligation.
  • You have the right to object to processing of your personal information in certain circumferences. We will not share your information with third party marketing agencies without your consent, nor will we contact you for marketing purposes unless you give your consent.  If you consent to us contacting you for marketing purposes at any stage, you can change your mind at any time by exercising your right to ask us not to contact you by emailing us.
  • You have the right to data portability which allows you to ask that we transfer the personal information you gave us to another organisation or to you, in certain circumstances
